SUMMARY:
This position is responsible for the customer service of review, formatting and print reproduction of graduate theses and doctoral dissertations, for Montezuma Publishing, a division of Aztec Shops, Ltd., at San Diego State University. It includes reviewing documents according to University guidelines, order-taking, preparing documents for formatting, printing, and maintaining quality control standards.

- Responsible for reviewing all San Diego State University (SDSU) / San Jose State University (SJSU) graduate theses and doctoral dissertations based upon the guidelines outlined by the university, and the department guidelines.
- Adheres to all deadlines established by the SDSU/SJSU Graduate Studies to ensure the timely graduation of SDSU/SJSU students.
- Communication liaison between Montezuma Publishing and the SDSU/SJSU Graduate Studies staff.
- Receives and inputs orders from customers for formatting, review and publishing and communicates with customers regarding order status.
- Based on the number of orders, communicates staffing needs for scheduling to the Assistant Manager.
- Prepares materials for reproduction and binding following established standards and procedures.
- Formats graduate theses and doctoral dissertation according to SDSU/SJSU and its department standards utilizing the appropriate software programs.
- Supplies monthly reports from database management systems.
- Arranges for the binding and archiving of all applicable theses and dissertations.
- Verifies quality and quantity of products and arranges pickup and deliveries of product to customers, departments, library and ProQuest.
- Develops and maintains working relationships with customers, coworkers, vendors, faculty, staff, and university personnel.
- Must comply with and ensure continued, consistent compliance with all company policies, and federal, state, and local laws/regulations including but not limited to: employment, safety, and health.
- Other duties as assigned.
Minimum Requirements
MINIMUM EDUCATION, TRAINING AND EXPERIENCE REQUIRED: The minimum requirement for applicants is a High School diploma or General Education Development (GED) degree required. Some college coursework is preferred. Related experience and/or training or any equivalent combination of education and experience may be substituted. Must be very detail-oriented with the ability to multi-task and work independently. Must be computer literate with demonstrated skill in digital technology (i.e., Adobe Acrobat, digital file manipulation, electronic file transfer) knowledge of Microsoft Office and Google Workspace products; able to use new software and equipment. Strong communication, interpersonal skills, and organizational skills are required.
MINIMUM QUALIFICATIONS OR STANDARDS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS LANGUAGE SKILLS: Must be able to read, write and understand English. Requires the ability to follow verbal and written instructions, guidelines and objectives. Requires the ability to read, comprehend, analyze, and interpret general business information and policy manuals. Requires the ability to write reports and communicate effectively using telephone, written, and electronic means. Requires the ability to effectively and respectfully present information one-on-one, in large and small group situations, to customers, management and employees of the organization.
MATHEMATICAL SKILLS: Must be able to perform basic math functions; add, subtract, multiply and divide.
REASONING ABILITY: Ability to apply commonsense understanding to carry out instructions delivered in oral or written form.
MANUAL DEXTERITY: Must be able to utilize a computer. Requires the ability to use a variety of office machines and equipment.
PHYSICAL COMMUNICATION: Must have the ability to talk/expressing and/or exchanging ideas and hear/perceiving sounds.
PHYSICAL DEMANDS: Must be able to operate office equipment such as computers, copy machines, and fax machines. While performing the duties of this job, the employee is frequently handling objects; keypad or papers and books. Employees are frequently required to sit and may occasionally stand and/or walk. Must be able to move, lift or carry heavy objects or materials up to 20 pounds. Specific visual abilities required by this job include close vision, color vision for extensive reading and interpretation of reports and documents.
WORKING CONDITIONS AND HAZARDS Work is regularly performed in a traditional office setting with occasional visits to the SDSU Graduate Division offices. The noise level in the work environment is low to moderate.
SUPPLEMENTAL INFORMATION: The person holding this position is considered a 'mandated reporter' under the California Child Abuse and Neglect Reporting Act pursuant to California Penal Code Section 11166.5.
BACKGROUND CHECK INFORMATION: A background check will be conducted after a conditional offer of employment is extended by the company and accepted by the applicant and must be satisfactorily completed prior to any applicant beginning work in a full-time, part-time non-student, or sensitive student capacity with Aztec Shops Ltd.
Background checks will include, at minimum, verification of education and employment histories, criminal records, national sex offender registry check, and references. Additionally, based on the nature and scope of the position, the background check may also include a credit report, motor vehicle report, and verification of professional licenses.
Failure to answer background check questions honestly, and satisfactorily complete the background check may affect the employment status of applicants or continued employment of current Aztec Shops employees who apply for promotional positions which require a background check.
